Overview

A private family seeks an experienced and highly organized Director of Residences to oversee the daily operations, maintenance, and hospitality standards of multiple residences. The ideal candidate has strong leadership skills, excellent communication, and proven experience managing luxury homes and construction projects. You will lead all property teams across an oceanfront estate in Palm Beach, FL; a historic residence in Washington, DC; an investment property in Vero Beach, FL; and provide occasional support for additional family homes (Virginia and London).

Key Responsibilities

  • Lead, train, and performance-manage on-site Property Managers, housekeepers, maintenance staff, and drivers across all residences
  • Conduct or delegate daily property inspections (interiors/exteriors, grounds, docks, pools, equipment) and ensure immediate resolution of any issues
  • Serve as the Principals’ and CFO’s primary point of contact for all property matters
  • Hold daily morning briefings (in-person or virtual) with each property team
  • Receive, assign, and follow up on all Principal requests to exacting white-glove standards
  • Manage a curated vendor roster with signed NDAs, background-checked personnel, and consistent crews; obtain 2–3 competitive bids for projects >$10k and negotiate best possible terms
  • Develop, calendar, and oversee comprehensive preventive maintenance programs and inclement-weather preparation programs (hurricanes, winter storms, etc.)
  • Act as first responder for AV/IT issues and oversee all security/alarm/camera systems, code management, and police coordination
  • Plan and manage capital projects from concept through completion with regular updates to CFO and Principals
  • Review and approve all property invoices for accuracy and cost control; assist CFO with annual operating and capital budgets and quarterly reviews
  • Deliver concise weekly summaries (completed/pending work, vendor activity) and monthly vendor calendars to the Principals (with version-control footers)
  • Maintain master property binders, inventories, insurance records, Google Drives, and emergency protocols
  • Coordinate private-jet ground logistics (laundry, supplies, vehicles) and provide occasional event support
  • Assist with Vero Beach condo, G2 family homes (Virginia & London), and special Finance-team projects as required
  • Uphold absolute discretion and confidentiality at all times

Qualifications & Requirements

  • 10+ years managing a portfolio of ultra-high-net-worth estates with impeccable references
  • Proven staff leadership, vendor/contract negotiation, budgeting, and large-project management experience
  • Strong financial acumen and meticulous attention to detail
  • Construction or facilities-management background highly preferred
  • Tech-savvy (AV/IT, security systems, Google Workspace)
  • Exceptional organization, written and verbal communication, and anticipatory service mindset
  • Flexible to travel between properties and available evenings, weekends, and holidays as needed
  • Clean background check and legal authorization to work in the U.S. required
