A private family is seeking to hire a Chief of Staff to join their household team. The Chief of Staff is crucial in maintaining the smooth operations of a vast estate and the team employed within. The family is looking to hire a service-oriented, can-do individual who brings focus and order to this role and operates in a thorough and dedicated manner. The role will also occasionally provide support to NYC apartments as needed and will work collaboratively with the family office, which oversees multiple properties within this family’s portfolio.

Responsibilities:

  • Reports directly to the Family Office and Family
  • Leading a household team on-site at this Estate that provides hands-on service, maintenance, and housekeeping, and also plays a hands-on role whenever necessary
  • Handle administrative and personnel tasks as well as negotiating and procuring items for the home
  • Always keeping property guest-ready (interior and exterior)
  • Creating detailed spreadsheets for checklists and protocols
  • Manage an extensive art collection, from installation to storage and cataloging of new and old items.
  • Work with a highly updated technology home systems, and security systems (lighting, heating and cooling, security), including “smart home” or fingerprint systems for home security
  • Interviewing, hiring, and training new staff members
  • Create SOP’s and House Manual outlining daily, weekly, monthly, and annually
  • Creating detailed schedules for all household staff
  • Writing detailed performance reviews in collaboration with the COO of the family office
  • Promote a safe, secure, and healthy workplace.
  • Delivers a high level of service to the family and their guest
  • Maintains a professional and respectful work relationship with the team
  • Participate in a workplace culture that emphasizes quality, continuous improvement, and high performance.
  • Collaborate closely with the Family office and proactively oversee and maintain a property calendar; including household maintenance servicing, and vendors.

Schedule: Monday – Friday. Flexibility to work weekends as needed based on special events or emergencies. Hours: 8 am – 6 pm (with the flexibility to work later hours for special events and be on call for families’ needs). Requirements: 

  • MUST live within reasonable commute to Delray, Beach, FL 
  • Experience Working in Fully Staffed Home
  • 5+ Years of Full-Time Experience (COS or Estate Manager)
  • Experience managing multiple homes/estates
  • Open to Occasional Travel to various residences throughout US
  • Excellent Communicator (verbal, written, interpersonal)
  • Highly organized with strong attention to detail
  • Superb time management skills with a proven ability to meet deadlines
  • Ability to prioritize tasks and to delegate them when appropriate
  • Strong problem-solving skills
  • Strong supervisory and leadership skills
  • Tech Savvy; Proficient with MAC or related software
  • Flexibility + Adaptability are KEY! Must be up for changing circumstances, priorities, and schedules as required
