Overview

A private family couple seeks an experienced professional Estate Manager to lead a team (comprised of a Maintenance Manager, Maintenance Assistant, Handyman, and two housekeepers) responsible for maintaining the interior and exterior of a 13-acre estate, 25,000+ sq ft home (including pool house and gate house) in Potomac, Maryland. Must be highly hands-on with experience managing high-end luxury residences and overseeing construction/renovation projects. Must be self-motivated, self-driven, no job is too big or too small, and willing to go above and beyond the principles.

Job Description:

  • Daily (thorough) inspection/walkthrough of property (grounds, interior/exterior, etc.) 
  • Complete/oversee repairs and preventative maintenance (maintenance programs for critical mechanical equipment, retaining walls, lighting – day/night, front gate operations, etc.) 
  • Storm monitoring and preparation in accordance w/ best practice checklist 
  • Regularly test AV/IT operations within the home (lighting, cable, Apple TVs, phone system, etc.) 
  • Manage household staff members (Housekeepers, Houseman, and outdoor staff such as groundskeepers)
  • Household staff hiring, training, and onboarding new staff members
  • Work with highly updated technology home systems, and security systems (lighting, heating, and cooling, security), including “smart home” or fingerprint systems for home security
  • Developing preventative maintenance and safety programs
  • Budget management, vendors and contractor management, construction management
  • Manage bids for construction projects
  • Oversee outdoor maintenance and outdoor facilities maintenance
  • Manage Vehicle Portfolio
  • Always keeping property guest-ready (interior and exterior)
  • Exercise common sense and can take the initiative to accomplish tasks and make decisions
  • Running errands and adhering to special requests as needed
  • Manage interior/exterior vendors onsite – communicate/correct problems (as needed)
  • Coordinate security detail and communicate hours for payroll purposes
  • Always ensure safety and security at all times on the estate grounds (including signed VCAs) 
  • Produce/maintain weekly reports and calendars and regularly communicate updates to Owners

Schedule: Monday – Friday 9am – 5pm with flexibility to work occasional evenings, weekends and holidays as needed

Salary: $200,000 – $250,000, DOE 

Benefits: A full benefits package is available, 401k Match and OT, pay. 

Requirements:

  • A minimum of 5-10 years of relevant work experience with Private Families and Individuals
  • Bachelor’s degree preferred
  • Excellent references from current and previous positions
  • Career, experienced property management professional with expertise managing high-end estates 
  • Excellent computer skills required, including Word, Outlook, Excel, Internet, and e-mail
  • Experience supervising household staff and working with service staff and other outside vendors
  • Demonstrate an understanding of complex physical house systems (lighting, heating, and cooling, security), including “smart home” systems (ie Kaleidoscope)
  • Strong communication skills, both written and verbal
  • Valid driver’s license
