Overview
Position Summary The Executive Assistant will serve as a strategic partner to a dynamic CFO managing a family office and a diverse portfolio of operating companies and investments. This role requires exceptional organizational skills, discretion, and sound judgment to navigate a fast-paced, complex business environment. The ideal candidate is proactive, thrives under pressure, and upholds the highest standards of professionalism and confidentiality.
Key Responsibilities
- Executive Support: Manage the CFO’s complex calendar, communications, and priorities across multiple entities, boards, and investment partnerships.
- Meeting & Board Coordination: Schedule and prepare materials for board meetings, investor updates, and financial reviews; ensure timely follow-up on action items and deliverables.
- Information Management: Organize and maintain accurate records of financial reports, partnership agreements, and key correspondence for easy access and compliance.
- Liaison Role: Act as the primary point of contact and trusted intermediary between the CFO, portfolio company executives, bankers, attorneys, advisors, and family principals.
- Confidential Administration: Handle sensitive personal and financial information with the utmost discretion and integrity.
- Travel & Logistics: Coordinate complex domestic and international travel itineraries, including multi-stop trips and on-site visits to portfolio companies.
- Project Coordination: Support critical initiatives such as acquisitions, capital raises, tax and audit processes, and estate or trust documentation.
- Process Optimization: Enhance administrative workflows by implementing tools and systems to boost executive efficiency and cross-entity coordination.
- Proactive Problem-Solving: Anticipate challenges, propose solutions, and prioritize tasks to keep the CFO focused on strategic objectives.
Schedule: Monday – Friday, with occasional weekend availability for special events. Benefits: Competitive health insurance, paid time off, and performance-based bonus. Qualifications
- Experience: Minimum 5 years supporting C-suite executives, ideally in a family office, private equity, investment, or multi-entity setting.
- Education: Bachelor’s degree required; degree in business, finance, or a related field preferred.

- Technical Skills:
- Proficiency in Microsoft 365, Google Workspace, and productivity tools (e.g., Asana, Notion, DocuSign, Slack).
- Strong financial acumen, with experience managing spreadsheets, investor materials, and transaction documentation.
- Interpersonal Skills: Composure, tact, and professionalism when engaging with senior leaders, investors, and family principals.
