Overview
A Private Family seeks an experienced Property Manager who is responsible for maintaining the interior and exterior of a 13 acre estate, 25,000+ sq ft home (including pool house and gate house). The ideal candidate will be very detailed in property management with a strong focus on hospitality. Must be extremely hands-on with a mindset of no job is too big or too small and have expertise in maintaining high-end estates to an impeccable quality standard. A team player mentality is required for this position as you will work along side an estate manager and assistant property manager to maintain the estate.
- MAINTENANCE:
Daily:
-
- Respond daily to owner’s requests when both in and out of residence
- Walk entire property
- Check entire home interior for proper working order of all light bulbs
- Check thermostats in main house, guest house, pool house, and garage for proper temperature setting
- All clocks are set to correct time – wall, counter, appliances, etc.
- Replace 5 gallon water bottles in kitchen & fitness rooms as needed. Stock drinks and replace supplies as needed
- Retrieving/delivering mail parcels from front entrance
- Clean entry faceplate
- Keep security camera lenses clear of cobwebs and debris
- Keep all walkways, drives, patios, and stairs clear of debris.
- Check that all entry doors and locked interior doors are secure before leaving property.
- Weekly:

- Monday, Wednesday, Thursday are the standard vendor service days. Tuesday and Friday are quiet days, reserved for family privacy
- Clean cobwebs on ceilings & light fixtures on outdoor walkways & front porch area
- Check for plumbing problems, drips, leaks, drywall repairs
- Repairs—minor house and to personal items as directed
- Interior plant care as needed/directed
- High dusting
- Wipe down baseboards in garage
- Check all locks for proper working order
- Fireplaces – check pilot lights, unusual gas odors, proper working condition
- Check computer/security alarm program every Friday prior to departure to confirm all passage codes, times, etc. are working properly & on target
- Telephone system and answering machines are operating correctly
MANAGEMENT:

- Fiscal Planning – work in coordination with Family Office staff to prepare and routinely monitor progress on the annual household budgets – both capital (replacement) and operational (repairs/maintenance)
- Capital Budget – Within first 90 days, perform an initial facilities condition assessment to evaluate all existing structures and their major systems. Determine current condition and projection of remaining useful life of each asset. Estimate the costs and timing of capital repairs for items requiring capital outlays within 5 years. Update annually.
- Vendor Selection – With assistance from the Family Office staff, meet with current and prospective vendors to review existing service contracts and proposals for value, efficiency, and quality.
- Negotiation – With assistance from the Family Office staff, negotiate vendor contracts. Advocate on behalf of Employers to secure the most favorable terms possible.
- Vendor Oversight – Manage service quality, including communicating and correcting problems.
- Vendor Management – Serve as liaison to coordinate and supervise all contractors and sub-contractors.
- Project Oversight — Assist with oversight on projects and property renovations, as needed.
- SUPERVISION/HUMAN RESOURCES:
- Assist the family with the hiring process, including identifying and interviewing candidates
- Control and coordinate vacation and sick leave requests for this individual
- Terminate maintenance employee if necessary
- Provide feedback and performance information on a regular basis
- Assist other employees as needed/requested to ensure family’s needs are met.
Benefits:
- Full-time position from 9:00am to 5:00pm, but with additional hours at times depending on the family’s needs, and possibility of shifting from 8:00am – 4:00pm in future.
- Salary of TBD per year

Requirements
- Career, experienced property management professional or professional within the construction industry with expertise in maintaining high-end estates to an impeccable quality standard
- Must be an exemplar professional, excellent communicator, very efficient / have great time management skills, great attention-to-detail, hands-on mentality, and be very organized
- Availability and connectivity to support family needs, including weekends, evenings, and holidays (if necessary)
- Must be legally authorized to work in the United States and able to pass a comprehensive background check
